Important Points, Please Note:
Applicants please note that attestation of documents requires minimum three working days to process. It may please be noted that documents submitted for attestation will require certain days of processing; this duration is mentioned below under each category of attestation/certification. For attestation or getting other consular services, documents can be submitted on Embassy’s working days between 09.30 am and 12 noon. The time to collect the documents is also between 09.30 am and 12 noon but on the date informed to the individual by the official on the counter. Applicants are requested to desist from making visits to Embassy for attestation of documents at the eleventh hour.
It may also please be noted that the Embassy has stopped accepting cash/cheque at the counter. Only proof of payment by bank-giro is acceptable, which is to be attached along with the documents to be attested.
Each request for attestation has to be accompanied by duly filled in Miscellaneous Services Application Form (available at the Embassy counter as well as on this website in ‘Application Forms’. Also, when submitting photocopy of the Indian passport, copies of front and back pages where Govt. of India mentions information about the passport holder and copy of the resident/work permit of the applicant needs to be submitted.
Broadly, following services are provided by the Embassy.
AFFIDAVIT FOR ISSUE OF PASSPORT TO CHILDREN BORN IN INDIA
For the child who is born in India, his/her father in Sweden/Latvia is required to send an ‘Affidavit’ to his family in India. This affidavit is required by the concerned Passport Office for issue of an Indian passport to the new-born child. A format of this affidavit is available in the link ‘Application Forms’ under subhead ‘Specimen Affidavits’ item number 3.
The procedure to get this affidavit authorized by the Embassy is as follows :
- Fill up and submit the Affidavit
- Fill up and submit the Miscellaneous Services Form
- Bring these documents to Embassy with original passport and a photocopy of the important pages of the passport
- Affidavit is to be signed in the presence of the consular official at the Counter, when submitting the documents
- Submit a proof of bank-giro payment of SEK 105/-
- The documents are to be submitted by the applicants between 09.30 am & 12 noon. They can be collected also between 09.30 am & 12 noon on the appointed day as advised by the official on the counter.
- Processing Time: at least three working days
- In case the applicant wishes the document to be sent back to him/her by post after necessary attestation, he/she is liable to deposit a self-addressed adequately-stamped envelope with the documents and inform the official on the counter for despatch of the documents by post.
- This service cannot be applied for by post by sending the above-mentioned documents by post to the Embassy.
ATTESTATION OF POWER OF ATTORNEY OR DOCUMENTS FROM INDIVIDUALS, COMPANIES AND ORGANIZATIONS
In the case of attestation of a Power of Attorney, the applicant who prepares a Power of Attorney needs to be present at the Embassy, when he/she submits the document between 09.30 am & 12 noon on Embassy’s working days. The executants of the Power of Attorney are required to sign in the presence of the official at the counter. If the Power of Attorney has been signed already, another set of signatures will have to be done at the counter in front of the official of the Embassy.
Please note that if the following conditions are not met, the document called Power of Attorney cannot and will not be accepted by the Embassy for attestation:
- If the individual (or individuals) is/are not present themselves
- Proof of identity is not produced, and
- If the Power of Attorney is found to be incomplete (blank spaces)
The following documents are required to be submitted for the attestation of a Power of Attorney :
- Power of Attorney executed by the individual along with a recent colour photograph pasted near the place of executant’s signature
- Duly filled in the Miscellaneous Services Form
- Original Passport to be brought to the Embassy as a proof of identity
- A photocopy of important pages of the original passport
- PoA is to be signed in the presence of the consular official at the counter, when submitting the documents
- Submit a proof of bank-giro payment of SEK 210/-
- The documents are to be submitted by the applicants between 09.30 am & 12 noon. They can be collected also between 09.30 am & 12 noon on the appointed day as advised by the official on the counter.
- Processing Time: at least three working days
- In case the applicant wishes the document to be sent back to him/her by post after necessary attestation, he/she is liable to deposit a self-addressed adequately-stamped envelope with the documents and inform the official on the counter for despatch of the documents by post.
If the Power of Attorney is sent to the Embassy by post for attestation, such a Power of Attorney is accepted for attestation only when the document has been first attested by a Notary Public in Sweden/Latvia (as applicable) and then by the Foreign Ministry of the Government of Sweden/Latvia (whichever is applicable). The same Notary should also attest the Executant's photograph. Such a notarized and attested Power of Attorney can then be sent to the Embassy by post along with all the other relevant documents as mentioned below :
- Duly filled in the Miscellaneous Services Form
- Original Passport to be brought to the Embassy as a proof of identity
- A photocopy of important pages of the original passport
- Submit a proof of bank-giro payment of SEK 210/-
- Processing Time: at least three working days
- A self-addressed adequately-stamped envelope for return of the documents by post back to the applicant
In case of preparation of a Power of Attorney by a company or organization either from Sweden or from Latvia, the document first needs to be notarized by the applicable Notary Public and then by officials of the concerned Foreign Ministry, before bringing it to the Embassy for attestation. The documents can then be attested by the Embassy. The following documents need to be submitted :
- Power of Attorney executed by the company/organisation
- Duly filled in the Miscellaneous Services Form
- Proof of identity of the company/organisation
- Submit a proof of bank-giro payment of SEK 210/-
- The documents are to be submitted by the applicants between 09.30 am & 12 noon. They can be collected also between 09.30 am & 12 noon on the appointed day as advised by the official on the counter.
- Processing Time: at least three working days
- If the document is to be sent back by post after necessary attestation, a self-addressed adequately-stamped envelope should deposited in addition to the documents mentioned above and the counter official informed about the return of the documents by post.
- The same service of attestation of Power of Attorney by the companies/organizations can be applied for by post also by sending the above-mentioned documents by post along with an envelope for return of the documents.
ATTESTATION OF DOCUMENTS RELATED TO ADOPTION
Those, who wish to adopt children from India, they are allowed to do so only through approved Adoption Agencies in Sweden. These approved Adoption Agencies are:
- Adoptions Centrum
- Family Association for Inter Country Adoption
- Barnens främfor Allt
If the adopting parents require any document to be attested by the Embassy, they have to follow a procedure, i.e., get the document attested first by a Notary Public and then by the concerned Ministry of Foreign Affairs and then either deposit it personally or sent it by post to the Embassy for attestation. The following documents need to be submitted for such attestation
- Document to be attested with regard to the adoption of a child from India
- Duly filled in the Miscellaneous Services Form
- Original Passport/identity card to be brought to the Embassy as a proof of identity
- Submit a proof of bank-giro payment of SEK 105/-
- The documents are to be submitted by the applicants between 09.30 am & 12 noon. They can be collected also between 09.30 am & 12 noon on the appointed day as advised by the official on the counter.
- Processing Time: at least three working days

ATTESTATION/LEGALISATION OF DOCUMENTS ISSUED BY INDIAN AUTHORITIES
Diplomas, Degrees, Mark-Sheets, Marriage Certificates, Birth Certificates, Divorce Decrees, etc., Indian Authorities/Institutions/Universities/Colleges, etc., can be attested by the Embassy.
In order to get these documents attested by the Embassy, they first are to be attested by officials in the Home Department of the concerned State Government (in case of educational certificates, attestation is done by the Ministry of Education, New Delhi). After that State Government’s attestation, the documents need to be attested by the CPV Division of the Ministry of External Affairs of Government of India located at Patiala House in New Delhi.
After the above-mentioned attestations from two authorities, the Embassy of India is empowered to attest the documents, for which the individual needs to fulfill conditions :
- Submit the document to be attested
- Submit the duly filled in the Miscellaneous Services Form
- Submit the Proof of identity (passport, etc.,)
- Submit a photocopy of the Proof of identity (passport, etc.,)
- Submit a proof of bank-giro payment of SEK 105/-
- The documents are to be submitted by the applicants between 09.30 am & 12 noon. They can be collected also between 09.30 am & 12 noon on the appointed day as advised by the official on the counter.
- Processing Time: at least three working days

ATTESTATION OF DOCUMENTS ISSUED BY SWEDISH AUTHORITIES
If attestation of documents like educational certificate, birth, marriage or death certificates issued by authorities in Sweden is required, these will first have to be authenticated by the Foreign Ministry of the concerned Government. The individual needs to fulfill conditions :
- Submit the document to be attested
- Submit the duly filled in the Miscellaneous Services Form
- Submit the Proof of identity (passport, etc.,)
- Submit a photocopy of the Proof of identity (passport, etc.,)
- Submit a proof of bank-giro payment of SEK 105/-
- The documents are to be submitted by the applicants between 09.30 am & 12 noon. They can be collected also between 09.30 am & 12 noon on the appointed day as advised by the official on the counter.
- Processing Time: at least three working days

REGISTRATION OF CHILDREN FOR INDIAN NATIONALITY/ BIRTH CERTIFICATE
To obtain an Indian Passport for your new-born child, it is essential to first register the child in the Embassy, as an Indian national. In order to get a child registered as an Indian national, at least one of the child's parents has to be an Indian citizen. If more than one year has elapsed since the birth of your child and the child is not registered with the Embassy as an Indian national, permission from authorities in India is to be sought and it takes a longer period of time before a Birth Certificate can be provided to the child thereby declaring him/her an Indian citizen. In case, parents are applying for registration of birth of their child and applying for a Birth Certificate, this application is to be clubbed together with the application for Indian Passport for the new-born child (information provided under ‘Passport Services’ link).
The following documents are required for registration of children as Indian Nationals:
- Application form for Registration of Birth of child
- Hospital’s discharge certificate in respect of the child
- Father’s passport in original and a photocopy of important pages
- Mother’s passport in original and a photocopy of important pages
- Affidavit by parents stating that the child has not acquired any other nationality
- Submit a proof of bank-giro payment of SEK 210/-
- The documents are to be submitted by the applicants between 09.30 am & 12 noon. They can be collected also between 09.30 am & 12 noon on the appointed day as advised by the official on the counter.
- Processing Time: as informed at the counter

POLICE CLEARANCE CERTIFICATE
Police clearance certificates are sometimes sought from Indian nationals for work, residence permits or for student visas. Some Foreign Governments or institutions accept only certificates issued by the Embassy and not by police authorities in India. Getting a Police Clearance Certificate is a time-consuming exercise. Applicants are requested to keep this in mind while applying for Police Clearance Certificates.
Please note that the Embassy can issue a Police Clearance Certificate within two working days after applying, if an applicant submits an original Police Clearance Certificate from a Passport Office in India, issued not more than three months before the date of application to the Embassy.
To obtain a police clearance certificate, the applicants must submit/send to the Embassy:
- Completed Application Form for Police Clearance
- One recent passport-size photograph (front view against light background, to be pasted/stapled on application form)
- Original Indian Passport
- Copy of passport pages which contain photograph and other personal particulars
- One letter explaining why the certificate is required
- Submit a proof of bank-giro payment of SEK 105/-
- The documents are to be submitted by the applicants between 09.30 am & 12 noon. They can be collected also between 09.30 am & 12 noon on the appointed day as advised by the official on the counter.
- Processing Time: as informed at the counter

ATTESTATION OF PHOTOCOPIES OF DOCUMENTS
The Embassy also attests photocopies of original documents. The applicant has to deposit the original document, alongwith a clear photocopy to be attested. Additional, the individual needs to fulfill the following conditions :
- Submit the duly filled in the Miscellaneous Services Form
- Submit the Proof of identity (passport, identity card, etc.,)
- Submit a photocopy of the Proof of identity (passport, identity card,etc.,)
- Submit a proof of bank-giro payment of SEK 105/-
- The documents are to be submitted by the applicants between 09.30 am & 12 noon. They can be collected also between 09.30 am & 12 noon on the appointed day as advised by the official on the counter.

ISSUE OF LIFE CERTIFICATE
The Embassy provides a document called ‘Life Certificate’ to the retired persons receiving pension benefits from the Government of India. The service is rendered free of cost to the Indian citizens and the applicants need to fullfil the following conditions :
- Come personally at the Embassy’s counter
- Submit the duly filled in the Miscellaneous Services Form
- Submit the Proof of identity (passport, etc.,)
- Submit a photocopy of the Proof of identity (passport, etc.,)
- Submit the Pension Pay-book (if available)
- Submit a proof of bank-giro payment of SEK 105/- in case of a foreign national, who was earlier an Indian citizen
- The documents are to be submitted by the applicants between 09.30 am & 12 noon. They can be collected also between 09.30 am & 12 noon on the appointed day as advised by the official on the counter.
- Processing Time: at least three working days
- If the document is to be sent back by post after necessary attestation, a self-addressed adequately-stamped envelope should deposited in addition to the documents mentioned above and the counter official informed about the return of the documents by post.
- The same service cannot be applied for by post also by sending the above-mentioned documents by post.
DEATH CERTIFICATE
The Embassy provides a document called ‘Death Certificate’ to the deceased Indians and the following conditions need to be fullfilled:
- Provide the Death Certificate from the local authorities
- Submit the duly filled in the Miscellaneous Services Form
- Submit the Proof of identity of the deceased (passport, etc.,)
- Submit a photocopy of the Proof of identity of the deceased
- Submit a proof of bank-giro payment of SEK 420/- (SEK 210/- for registration of death and SEK 210/- for issuing the Death Certificate)
- The documents are to be submitted by the applicants between 09.30 am & 12 noon. They can be collected also between 09.30 am & 12 noon on the appointed day as advised by the official on the counter.
- If the document is to be sent back by post, a self-addressed adequately-stamped envelope should deposited in addition to the documents mentioned above and the counter official informed about the return of the documents by post.
- The same service can be applied for by post also by sending the above-mentioned documents by post along with an envelope for return of the documents.
TAKING ASHES OF DECEASED PERSONS TO INDIA
If an Urn containing the ashes of a deceased Indian citizen is to be transported to India, the Embassy issues a letter to facilitate help with the customs and other authorities.
The following conditions need to be fulfilled:
- Submit the Death Certificate issued from local authorities
- Submit the Cremation Certificate
- Submit the Certificate from the Undertaker confirming that the urn contains ashes of the deceased person and that it has been sealed according to international regulations
- Submit the original passport and photocopy of the passport of the deceased
- Submit the original passport and photocopy of the passport of the person taking the urn containing ashes of the deceased
- Submit a proof of bank-giro payment of SEK 105/-
- g. The documents are to be submitted by the applicants between 09.30 am & 12 noon. They can be collected also between 09.30 am & 12 noon on the appointed day as advised by the official on the counter.
PROCEDURE FOR SENDING HUMAN REMAINS TO INDIA
The following conditions need to be fulfilled for sending human remains of Indian citizens to India:
- Obtain Death Certificate from the Hospital
- Body has to be embalmed and sealed in a coffin by the hospital
- Certificates regarding embalming and sealing according to international regulations are required in English. If these documents are in Swedish, authorised translator can be approached for translation into English.
- Certificate from the hospital saying that the deceased was not suffering from infectious diseases.
- On the basis of hospital death certificate, to get from the tax office (Skattemyndigheten, Skattehuset, Götgatan 76, Stockholm Tel: 08-6942691) ‘Passersedel för stoft’ (lassiez passer for corpse) which allows transportation of the body from Sweden to another country.
These documents should be brought to the embassy. The embassy will put stamp on the original papers. We will also give following two separate documents:
- A letter to customs authorities requesting them to allow the body to be brought into India.
- A Death Certificate, with embassy’s stamp and seal on payment of SEK 420/- (SEK 210/- for registration of death and SEK 210/- for death certificate)
FEES FOR ATTESTATION (SEK)
The Embassy has stopped accepting cash/cheque at the Visa/Passport Counter. Applicants are requested to pay fee for the service requested through BANK-GIRO (5816-4930) only and enclose a copy of the proof of payment along with the application documents.
